It is 9am on a Saturday. The decorator is at the hall, the caterer is calling, and the canopies are still in your store because the truck you "confirmed" on Thursday has stopped picking up.

For planners and rental businesses, moving chairs, canopies, tables and sound equipment is half the job. Here is how to run it so your setup crew never stands around waiting.

Write the list down

Every event move starts with a written inventory. The one in your head fails at 1am during pack-out. For each job, record:

  • Item type and count: chairs, tables, canopy frames, canopy covers, chair covers, speakers, mixers, stands, cables, generators, lighting.
  • Condition before loading: anything already scratched, bent or faulty. Take quick photos on your phone. It takes seconds and settles arguments later.
  • Packed size: stacked chairs, folded tables and bundled canopy poles take up very different space from how they look set up.
  • Rough weight: generators and big speakers add up fast.

Use that same list at the store, at the venue and when packing up.

Pick the vehicle by space first

Event loads are bulky long before they are heavy. Stacked plastic chairs fill a van well before they get near its weight limit, so think in volume.

A pickup van (listed on Sphere at up to 2,400kg) usually handles a small party package: a few stacks of chairs, some tables and a compact sound setup. Once you have multiple canopies, long tables, staging or a generator, request a driver a truck. Trucks on Sphere go up to 27,000kg, so choose the size that matches what you are actually carrying.

Sometimes two vehicles beat one big one: sound gear in its own van never ends up under canopy frames. If you are torn, our guide to choosing the right truck size walks through it.

Time the move and the return

Get the equipment to the venue well before the setup crew needs it. If the decorator starts at 10, arriving at 10 is late. Morning and evening rush hours are usually slow, especially on routes that cross bridges or the major corridors, and on weekends your truck shares the road with every other wedding and party in town. Leave early.

In rainy season, expect flooded roads and slower loading. Keep tarpaulins for the canopies and proper covers for anything electronic.

Then the part most people skip: request a driver the return trip separately, before the day. Plenty of events end late, so ask the venue when you can pack out and arrange the vehicle in advance. Searching for a truck at midnight in Lekki is not a plan.

Clear the gate before you request a driver

Most event delays happen at the gate. Security wants a name nobody sent, and twenty minutes disappear. Before you request a driver:

  1. Get the venue address with a clear landmark.
  2. Ask if the venue or estate needs a gate pass, vehicle details or the driver's name in advance.
  3. Find out where the vehicle can park and how far that is from the setup area.
  4. Check for low gates, narrow streets or underground parking that a truck cannot use.
  5. Get a venue contact who will actually pick up the phone.

Put all of it in your request so the driver can price and plan properly.

Load it backwards

Whatever the crew needs first at the venue goes into the vehicle last.

  1. Load first, so it comes off last: chair covers, decor boxes and backup stock.
  2. Next: tables and stacked chairs.
  3. Load last, so it comes off first: canopy frames and covers. Outdoor setups usually start with shade.
  4. Sound equipment rides on top or separately, protected and easy to reach.

Tie down stacked chairs and canopy poles. One bad pothole and a stack of chairs becomes a pile of chairs.

Look after the sound equipment

Speakers, mixers and amplifiers are usually the most expensive items on the truck and the easiest to damage. Use flight cases or padded covers where you have them. Keep speakers upright and wedged so they cannot slide or tip over. Never put metal frames or tables on top of electronics.

Bag cables separately so connectors are not crushed, and keep everything dry. A wet mixer can kill an event before the MC picks up the mic.

Pack-out is where things go missing

By the end of the night the crew is tired, other vendors are packing too, and your chairs start looking like someone else's chairs. Slow down.

Recount everything against your list before anything goes on the truck. Check condition again and note any damage from the event itself. Load the way you unloaded, with the sound gear protected. Before the driver leaves, confirm someone will be at your store to receive the load.

How to do this on Sphere

Open the Sphere app, pick a truck or pickup van, and add the pickup and venue addresses. Describe the load properly and propose a price. Nearby verified drivers accept it or send a counter-offer, and you choose the one that works for you.

For events, create one request for move and a separate one for the return. Agree loading and offloading help with the driver before you accept an offer. Sphere works in Lagos, Abuja and Ibadan. Frequently asked questions

What vehicle do I need to move event chairs and canopies?

For a small party package, a pickup van is usually enough. For big weddings or corporate events with several canopies and long tables, request a driver a truck, and size it by how much space the packed items take, not just their weight.

Should I request a driver the return trip at the same time as move?

Yes. request a driver it in advance as its own request, because events often end late and finding a vehicle at the last minute is much harder.

Will the driver help load chairs and tables?

Not by default. If you need help loading or offloading, agree it with the driver before you accept their offer so the price covers the work.

How do I avoid delays at the venue gate?

Send the exact address, any gate pass or vehicle details the venue needs, where the vehicle can park and a venue contact who answers the phone. Put all of it in your request.

Can I use Sphere for events outside Lagos?

Yes, in Abuja and Ibadan. Sphere operates in Lagos, Abuja and Ibadan, with trucks and pickup vans available in all three.
